In Google Workspace Gmail, you can create filters to automatically forward emails that match specific criteria to another email address, such as a personal Gmail account. This guide will walk you through the steps to set up email forwarding based on subject keywords.
Step 1: Add a Forwarding Address
Before creating the filter, you'll need to add the forwarding address you want to use.
- Open Gmail in Google Workspace.
- Click the Settings icon (gear) in the upper right corner and select See all settings.
- Go to the Forwarding and POP/IMAP tab.
- Under the Forwarding section, click Add a forwarding address.
- Enter the email address you want to forward to (e.g., your personal Gmail address) and click Next.
- You’ll be prompted to confirm by entering a code sent to the forwarding address. Go to the forwarding email account, copy the confirmation code, and enter it in Gmail to verify the address.
Step 2: Create a Filter Based on Subject Keywords
Now that your forwarding address is set up, you can create a filter to forward emails that contain specific keywords in the subject line.
- Go back to your Gmail Settings and select the Filters and Blocked Addresses tab.
- Click Create a new filter.
- In the filter creation window, enter the subject keywords you want to filter for. This could be specific words or phrases (e.g., "Project Update" or "Monthly Report"). Check your email confirmations sent from the forms on your website to find the relevant phrase to apply.
- Once you’ve specified the keywords, click Create filter.
Step 3: Set the Filter to Forward to the Personal Email
After defining the filter criteria, you’ll be able to choose the actions Gmail should take when an email matches.
- In the filter options, check the box for Forward it to.
- Select the verified forwarding address from the dropdown list.
- Click Create filter to save the filter.
Step 4: Test the Filter
To ensure the filter works as expected:
- Send an email to your Google Workspace account with the specified keywords in the subject line.
- Check the forwarding email account to confirm that the email was forwarded correctly.
Additional Notes
- Forwarding Limitations: Google Workspace accounts may have limits on the volume of emails that can be forwarded each day. For high-volume forwarding, consider using an automation service or a rule-based forwarding tool.
- Updating or Deleting Filters: You can manage your filters anytime by returning to Settings > Filters and Blocked Addresses. Here, you can edit or delete filters if needed.
By setting up this filter, Google Workspace Gmail will automatically forward incoming emails with the specified subject keywords to your personal Gmail account, ensuring you don’t miss important updates.
